Volunteer Coordinator Duties:
· Assign Parent volunteer jobs for dual meets and set up in VolunteerSpot or other program/website
· Track Volunteer requirements and send reminders to families who haven’t met requirements
· Oversee Timers, Officials, and Age Group Parent Coordinators
· Print list of Volunteers before each meet for Volunteer Check-in
April – May
Work with other Board Members to confirm number of volunteers needed (age group parents is the only one that really varies) and how to handle positions that require training. Might want to consider having Hytek and Officials coordinators handle their own volunteers. One has to be trained to be an official and while some new people can help with Hytek it doesn’t make sense to have different people every meet….better to have a smaller group that divides up the meets.
Work with Website Coordinator to set up all needed Volunteer Spot lists and meet signups. Michelle Pitstick can provide training for this.
June - July
President should check with V.C. before every meet to see what positions are still open and send out a specific email if needed.
Periodically send out reminders to families who have not fulfilled their volunteer requirements.
In July the League will publish volunteer assignments for Championships, email those still needing volunteer jobs first to try and fill and then send out remaining jobs to those families attending Champs to try and fill.
At end of season, provide Club with list of families who have not fulfilled their requirements for billing.
